What are the steps to change pay group from monthly to semi-monthly?

 

To change pay group from Monthly to Semi-monthly, user has to ensure both pay group has been initialized up-to the same period i.e. if Monthly Pay Group is initialized to Period 9 [September], then Semi-Monthly Pay Group has to be initialized up-to Period 9, Sub Period 2 [September] before effecting the change of Employee from Monthly to Semi-Monthly Pay Group.

Example:
Company’s Payroll is processed on a Monthly Basis from Jan to Sept.
Effective October 2011, some of the employees will be transferred to semi-monthly group.

Steps:
1. Go-to Setup > Pay Group Setup
2. Select Pay Group ID: 2 Payment Group and ensure the following
- No. of Sub Period = 2
- Starting Payroll Year = 2011
- Starting Payroll Month = 1
Note: this check is necessary if 2 Payment Group has not been used before
3. Go-to Process Pay > Initialize and select Pay Group ID: 2 Payment Group
4. Select Initialize Pay Record, click NEXT and click CONFIRM to 'blank' initialize Sub Period 1. (e.g. Year: 2011, Period 1, Sub Period 1)
5. Repeat step 3 to 4 to 'blank' initialize for Year: 2011, Period 1, Sub Period 2
6. Repeat step 3 to 5 until payroll has been initialized till Period 9, sub-period 2
7. Go-to Setup > Pay Group Setup and click on 'Assign Employee' Tab
8. Select Pay Group: 2 Payment Group
9. On the left panel 'available for selection', select the employees to the right panel and click confirm. This will move employee to 2 Payment Group
10. Proceed with monthly initialization of payroll as per normal
